This seminar is for CIO’s, IT Professionals, Agency Managers and anyone interested in Document Management and Workflow and the value they can bring to an organization’s ability to improve service and reduce cost.
Abstract of Seminar Contents
This seminar will present a definition of “Document Management” and “Workflow” and discuss how the concept and technology can help organizations operate more effectively, be more responsive to their customers, improve their efficiency and reduce cost. The speakers will discuss how document management and workflow can help deliver services and improve the effectiveness of staff and workers?
The speakers will share their experience, from across a wide spectrum of clients that while processing and storing paper is the traditional way for agencies to meet record-keeping obligations, that paper is a costly and inconvenient way to store information and is an impediment to workflow, particularly as organizations become more distributed. Paper can also be misplaced, damaged or lost in a disaster, and for long term archiving, paper does not age well and is difficult, time-consuming and costly to retrieve. Many agencies have turned to image repositories to address these short-comings and meet long-term storage needs. The impact of converting paper based workflows to digital workflows will be examined with the following in mind
* What is Document Management?
• What is Workflow?
• How is Workflow being enhanced thru digitization and Document Management?
• What are the benefits being realized; both fiscal and process?
• What are the future implications as this becomes more widespread?
Document Management is being integrated into automated workflow processes to integrate multiple sources of information and to provide ready access to documents that would traditionally be accessible to only a single agency or division. It has also been used to provide a more complete view in areas such as Property Tax, Land Management, and Permitting. Document Management provides an audit trail and a way to monitor a document’s progress in real time. Our speakers will explore case studies of Document Management; discuss how a Document Management Plan can prepare an agency for e-discovery requests and requests for documents such as land titles, etc. They will also address how agencies can intelligently automate the capture of form data and other documents. One example that will be discussed is early capture of incoming documents, such as through Mail Room operations, which improve efficiencies and workflow, while at the same time lowering cost.
Implementing Document Management Technologies
The speakers will also discuss:
• Enterprise printing in the office: Can office devices and management support Document Management? What are the onramps and off ramps to a Document Management Platform?
• Getting help implementing Document Management: How do organizations approach back-file capture, complex data indexing, and other services to support a Document Management Plan?
Speaker Bio’s:
Phillip Wastradowski has worked with Document Management and Workflow technologies for the last 12 years. He is currently working for Affiliated Computer Services, Inc, a Xerox company, in the roll of Professional Services Manager. Phillip works with sales to architect new solutions to meet client needs. He has designed and set up Koufax scan systems for a number of shared services locations. Phillip oversees his divisions information technology needs. Phillip received his Koufax Capture 9 Technical Solutions Specialist certification in January, 2010 and Six Sigma Greenbelt certification in 2007.
Jack Clark has over 20 years experience developing and deploying document management and print management services. He has delivered business processes such as billing for utilities and on site facilities such as scan centers, and office print management services. He understands the requirements of document management and the practical steps needed to get from paper based document management to digital document management. Jack is a certified Lean Six Sigma Greenbelt and is currently participating in the University of Oregon Sustainability Leadership Program.
